OurCommons is hosted in Australia and protects customer data with encryption in transit and at rest, multi-factor authentication, and strict role-based access controls, so people only see what their role in their building allows. Our privacy policy describes how we handle personal information.
Your organisation can request a building export before termination. Our terms describe the current export window and deletion process. Some records may need to be retained where law, security or dispute obligations require it.
During onboarding we'll walk you through adding your first building: lot count, levy schedule and trust account details, then invite your committee. Additional buildings can be added at any time from your portfolio dashboard.
Trust accounting is built into OurCommons, with a controlled double-entry trust ledger, bank reconciliation, immutable journal history and exportable records for review.
Yes. OurCommons supports AGMs and committee meetings, including agendas, invitations, attendance, motions, votes, minutes and committee approval.
CoMo is OurCommons' AI assistant for selected strata workflows. Depending on the feature and permissions enabled, it can search authorised building records, prepare drafts and summaries, and help create routine work. A person reviews the output before it becomes part of the official record.
OurCommons supports one-off and recurring levy schedules, committee approval where required, owner notices and payment tracking.
The compliance calendar lets teams record building deadlines such as meetings, insurance renewals, inspections and contract expiries. Tasks can be assigned and set to recur. OurCommons helps track the dates entered; it does not replace legal or professional advice about which obligations apply.
Committee members have access to meeting agendas and minutes, the building's financial summary (levy arrears, account balances), pending approval requests from the strata manager, maintenance ticket status, and the document library. Sensitive financial detail beyond your role scope is not shown.
OurCommons gives committee members the information needed to review spending requests and respond with an approval, change request or decline.
After a meeting, the authorised meeting team prepares a draft in OurCommons. The secretary and chair can manage the review workflow, and approval follows the configured committee process before the confirmed minutes are published.
Yes. You can raise a building issue through the portal, creating a ticket for the authorised strata and building management team. Notes and status changes stay with that ticket.

Once your strata manager has onboarded your building, you'll receive an invitation to set up your owner portal account. From there you can view your lot's levy schedule, payment history, and any outstanding amounts.
You can log a maintenance request directly from the owner portal. It creates a ticket visible to the building manager and strata manager. You'll receive status updates as your request progresses to done.
Owners can access documents the strata manager has published to the portal, including meeting agendas, confirmed minutes and any notices relevant to your lot.
The strata manager for your building invites you when they onboard your building to OurCommons. You'll receive an email with a link to set up your account. Your access is scoped to the buildings you manage. You won't see other buildings in the portfolio.
OurCommons helps building managers record maintenance issues with photos and notes, coordinate contractors, keep strata managers informed and share progress with owners.
OurCommons supports requests for proposal, vendor invitations, bid comparison, recommendations and approval workflows. Where your strata manager has enabled it, you can draft and send RFPs to vendors directly.
